Freelancers, small businesses and sole traders all need to send invoices. You do not need expensive accounting software to produce a clean, professional invoice: a free browser-based generator can create a PDF in a couple of minutes. This guide explains what an invoice should contain, how to fill in each field, and common mistakes to avoid.
Exact legal requirements depend on the country, but most European invoices include the following information:
The tool calculates subtotal, VAT and total for you, so you avoid rounding and arithmetic mistakes. Not sure which VAT rate to use? See our guide on how to calculate VAT in Europe.
For some cross-border business sales inside the EU, the VAT is paid by the customer under the "reverse charge" rule. In that case you often issue the invoice with 0% VAT and add a note such as "Reverse charge". Rules are detailed and differ by country and service, so check with your tax adviser. You can set the VAT percentage to 0 and write the required note in the notes field.
This depends on where you and your client are. Some countries require electronic invoicing through a government platform for most businesses. Italy, for example, uses the SdI system, and other countries are introducing similar rules. A PDF invoice from a generator is a good document for many situations, but it may not replace mandatory e-invoicing. Always confirm what applies to you.

Imagine you are a freelance designer who finished a logo project. Your invoice might contain one line: "Logo design and brand sheet", quantity 1, unit price 600 EUR, VAT 22%. The generator shows a subtotal of 600.00 EUR, VAT of 132.00 EUR and a total of 732.00 EUR. In the notes field you add "Payment within 30 days by bank transfer, IBAN ...". That is all your client needs to pay you correctly.
Send the PDF by email with a short message, and keep a copy in a folder organised by year. If the file is large, you can reduce its size with Compress PDF. If you need to attach a contract or timesheet, combine the documents with Merge PDF. You can also check amounts in other currencies with the Currency Converter.
